We collect what you choose to send us, use it to run your audit and your project, and never sell it. The public site has no analytics, no advertising trackers and no cookies.
Who we are
Katalyst is an AI solutions agency based in city, state/region, country. We build workflow and AI automations for small and mid-sized businesses. In this policy, "we" and "us" mean Katalyst, and "you" means anyone who visits this site, contacts us or works with us.
We decide how your information is used, so we're responsible for it. Reach us any time at kenziekatalyst@gmail.com.
What we collect
- When you book a free AI audit. Your name, email, business name, phone number (optional), preferred day and time, the time zone your browser reports, and anything you write about where your team's time goes.
- When you email us. Your email address and whatever you include in the message.
- During the audit call. Notes on how your business runs today, the tools you use and the problems you'd like solved. With your permission, we may also keep a transcript of the call so our notes are accurate. We'll ask before the call starts, and it's fine to say no.
- When you open a report we send you. Each client gets a private report link. When it's opened, or when you press "Let's talk" on it, we're notified that it happened, along with the idea you picked and any message you add. Your browser keeps the date of your last visit so we don't get the same notification over and over.
- During a project. Access to the systems and data a workflow needs, on the terms we agree with you in writing before any build starts.
- Basic technical data. Like every website, our hosting provider records standard request logs (IP address, browser type, page requested, time) to keep the site running and secure. Our fonts load from Google Fonts, which sees your IP address when it serves them.
How we use it
- To reply to you, schedule your audit and send the calendar invite.
- To prepare for the call and write up your three automation ideas.
- To scope, build, run and support the automations you hire us for.
- To send quotes, agreements and invoices, and keep the records the law requires.
- To keep the site and our systems secure and stop spam and abuse.
We use your information because you asked us to (booking an audit, hiring us), because we need it to deliver a contract, because we have a legitimate interest in running and protecting our business, or because the law requires it. We won't add you to a mailing list without asking first.
AI and your information
We're an AI agency, so we use AI in our own work. Audit notes, call transcripts and draft reports may be processed by AI models from third-party providers to help us organise notes and draft ideas. We only use providers whose business terms do not allow them to train their models on your data.
A person at Katalyst reviews everything before it reaches you. We never make decisions about you by automated means alone.
How long we keep it
- Audit requests that don't turn into a project: up to 24 months, so we have context if you come back, then deleted.
- Call transcripts: deleted once your audit notes and report are final, normally within 90 days.
- Client records: for the length of our work together, then as long as tax and accounting law requires (usually 7 years for invoices and contracts).

Security
Our systems use encrypted connections, access limited to the people who need it, and sign-in checks on every internal tool. On client projects we build inside your own accounts wherever possible and use the minimum access each workflow needs. No system is perfectly secure, but if a breach ever affects your information we'll tell you promptly and do what the law requires.
Your choices and rights
Depending on where you live, you may have the right to:
- see the information we hold about you and get a copy;
- correct anything that's wrong;
- have it deleted;
- object to or limit how we use it, or withdraw consent you gave;
- receive it in a portable format.
Email kenziekatalyst@gmail.com and we'll respond within 30 days. We may need to confirm it's you first. We'll never treat you differently for asking. If you're unhappy with our answer, you can complain to your local data protection authority.
Where it's processed
Our providers run data centres in the United States and other countries, so your information may be processed outside the country you live in. Where the law requires it, we rely on the safeguards our providers offer for international transfers, such as standard contractual clauses.
Children
Our services are for businesses. This site isn't aimed at children, and we don't knowingly collect information from anyone under 16. If you think a child has sent us their details, tell us and we'll delete them.
Changes to this policy
If we change how we handle your information, we'll update this page and the date at the top. If a change is significant and we have your email, we'll tell you before it takes effect.
